Time and Attendance System Management

Scenario

This client is an accounting function outsourcer. As such, it has a large workforce that works lengthy hours, and comes and goes randomly as there are no standard working hours. The client was finding it challenging to generate attendance data.

Solution

STONE BRIDGE suggested the installation of dedicated devices for "IN" clocking and another set of devices for "OUT" clocking. A custom scheduled attendance generation module was then developed to pull attendance data from all devices, auto process the data, and export the data to a specified folder from which our payroll system would pick it up for auto processing. At the same time a log report will be auto emailed to HR and IT for audit purposes.

Time and Attendance System Management

Scenario

Nissan Motor Corporation has a massive motor vehicle assembly plant in Chennai India. The plant has more than 4000 contract workers requiring strict and efficient time management. The system needs to manage worker time shifts / schedules that are required to be tied to a valid contract agreement. This custom time and attendance system was fully integrated with Access Controlcapabilities.

The custom STONE BRIDGE Nissan Motor Corporation Plant solution manages the following issues:

  1. Contract workers will be restricted entry into the plant if their contract has not been renewed.
  2. The system enforces headcount limits for each contracting company
  3. The system ensures that each contractor does not work for more than 10 continuous days without rest through physical access control system rules.
  4. The system enforces double verification. When a contractor places their fingerprint to clock in and gain access, their file photo is pulled up from the system for the security personal to review at the point of entry.
  5. The system has client predefined business rules for working hours. If a contractor violates any of these rules the responsible person will get a real time system alert.

No biometric devices Installed

Scenario

This client has branches all over Tamil Nadu. Branch wise attendance could not get in time. Head office says that leave maintenance, Branch wise Present & Absent employees status reports need to know Daily / Weakly / Monthly. Their higher official need total attendance details by branch should know every morning in their table.

Expected solution

A centralized system to manage the attendance and biometric device connection status, transfer the fingerprint template from one biometric device to another biometric device, to avoid static IP for each branch, to allow branch head to access their staff report from centralized attendance system.

Solution given by STONE BRIDGE

We have decided to install the ZK TECO Biometric terminal to support our RealSync monitor system so that we can eliminate the STATIC IP in each location.

About RealSyncs

STONE BRIDGE has developed a RealSync Monitor system to manage the multiple biometric devices from remote location. With the help of RealSync, we can monitor the Biometric device Online / Offline status, Last updated date and time, transfer the fingerprint template from one biometric device to another device, upload staff name, No need of STATIC IP, it will support to download the logs from WI-FI Hotspot enabled biometric device, GPRS enabled biometric terminals, attendance logs are received in real time mode. No need to install any client software in each branch. In traditional download method (using desktop software) it is very difficult to download the logs from 35 terminals using STATIC IP. This system will run in background mode so that, nobody will realize that the software is collecting the data from the biometric terminal. 24/7 this software will monitor the connected biometric terminals to download the attendance logs.

About STONE BRIDGE TAMS

We have created 35 users, and each user will access their own staff. But the Head Office HR have full access rights to generate the attendance for all branch, Staff transfer, creating master details for new joiners.

Scenario

A national Church organisation required a time and attendance system to manage its volunteers, integrated with access control capabilities to restrict staff access to facilities after hours, as per predefined building access rules and permissions. Automated removal of inactive volunteers by the system was also required.

Solution

STONE BRIDGE developed a custom time and attendance solution to cater for the specified clients requirements. This included physical access restriction to various building areas. Custom functionality was included to monitor the presence of volunteers at church events. This included checking volunteer attendance at church events against minimum attendance and other user defined rules. Volunteers will be automatically removed from the volunteers list by the time and attendance system if they fail to meet minimum attendance requirements. Absence and presence reports will be generated as required. This would assist the church to proactively manage resource shortages.

Time and Attendance System Management
Running on STONE BRIDGE Cloud Platform

Scenario

GS Engineering has multiple project sites across India. They required the centralization of this distributed time and attendance data at head office. This required a system that allowed data to be viewed at various levels, local, regional and then national, as required. The client required a custom module to manage requests and payments of salary advances to project members at the various sites across the country.

Solution

STONE BRIDGE provided a solution that enabled multilevel views of the data, but centralized control and maintenance from head office. STONE BRIDGE included a customized salary advance management module as part of the time and attendance system, on the biometric devices. The staff member would use the biometric device at their location to apply for a salary advance. The request would be authenticated using finger print identification, and auto submitted to the head office system. The user would then be flagged as "advance pending" by the system until there was a response from head office.

Upon receipt of the requested amount the user would acknowledge receipt via the biometric device and their financial records in the time and attendance system would record the transaction against the user. This information would be taken into account at the time of payroll processing.

The module employed standard financial record audit trails and user access permissions
